Letter from the Treasurer - Wednesday, February 10, 2010
Due to the cancellation of this weekend’s High School Solo & Ensemble event, refunds will be issued to participants.  As you know, there are still costs involved even though the event did not happen.  After those bills have been paid, refunds will be issued.  OMEA recommends that the District and the participants share in the loss.  Your participants will receive most but not the entire event fee that was paid.  When I mail the refund check, I will also mail a letter detailing the costs incurred and how that was divided evenly between the District and the participants.  The refund check will be issued to the organization that wrote the original check, i.e. the school, the booster group, or the director.  It is then the responsibility of the school, booster group, or director to write out individual checks or give cash to the students.  I will not send individual checks to parents, as this would be a great undertaking.  My plan is to have the refund checks mailed before High School Large Group Adjudicated Event in March.  I appreciate your patience.  Please let me know if you have any questions.  David Eby .  440-268-5561

Please take the time to read this letter in its entirety. Increased technology has created increased possibilities for mistakes!

BE SURE TO READ THE LAST PAGE.  IT IS INFORMATION FROM GREG TAYLOR.

The 2010 OMEA District IV Senior High Solo and Ensemble Adjudicated Event will be held at North Ridgeville High School on Saturday, February 6, 2010.    Entry Deadline is Saturday January 9, 2010.

The dark blue 11th edition of the Required Music for Senior High School is the correct list.    There is a new entry program.  Please be sure you download the current edition.    Applications using the old program will be returned.


Directors teaching in multiple districts or schools must send a separate entry and check for each school.  All choral/instrumental entries may be sent together or separately by department.   The fee structure for High School Solo and Ensemble are the same as in 2009.   Solos are $14.00 and Ensembles are $19.00.   Again, this information can be found on the OMEA Website.

All participating directors are required to be members of OMEA. A copy of your membership card must accompany the entries. Be sure you are familiar with the rules and regulations and that all music selected is from the current Contest Book.. All entries must be postmarked no later than SATURDAY, January 9, 2010. Entries postmarked after this date will be returned.

Payment Information:

One check or purchase order covering all entries made out to OMEA Treasurer District IV, must be post marked by January 9th, 2010.

If a school purchase order is sent in lieu of a check, payment must be received by Monday, February 1st, 2010.

 


Schools that fail to follow these instructions will have their entries returned to them.  Please avoid placing any of us in an embarrassing situation by carefully reading the directions with the Data Entry Program and processing the paperwork required to ensure that payment is received on time.

Based on past experience, I would like to offer the following suggestions:

Please read carefully, this still continues to be a problem
***When naming ensembles, pick a distinctive name or a name that uses the name of one of the performers in an ensemble. Avoid naming ensembles NRHS Brass Quartet 2. Many times the “2” does not fit in the program line or on the rating sheet labels. This will avoid confusion both in terms of posting the results and getting groups to the right performance room at the correct time. There is also some confusion in that some schools have the same abbreviations. For example, North Ridgeville and North Royalton both use NRHS. When naming ensembles please try to refrain from using your school initials.

It is my goal to send out an email by the end of the week.  The body of the email will stress the importance of using the CORRECT version of the Data Entry Program.  This year's version is creatively named the "Data Entry Program 2010.  I will try my best to get the word out to everyone to use this version.  If you have the ability via your own email list to reinforce this...PLEASE DO!!!!!  The first deadline is Dec. 26th, so it will be coming up quickly!

I am working hard on the new SE Management Program.  I am starting to upload tutorial videos to the web.  Once I have enough of them online, I will send you links so you can view how the program works.   The videos will take you through the various steps on the new program so you can learn the skills while waiting for the software.  I am still working hard to make an early December download for you.
